How the Event Allocation Process Works

Each season, event demand across the Chapter exceeds the number of available tee times at many tournaments. To manage this fairly, all player entries are processed through a structured, rules-based allocation system.

Members submit ranked event preferences, and those preferences are evaluated in multiple allocation rounds. In each round, players are awarded up to four events, starting with their highest-ranked available choices. A preference is never skipped unless that event has already reached its maximum capacity. When an event fills, players are automatically considered for their next available preference in subsequent rounds.

This process continues through as many rounds as needed until all valid preferences have been considered or events reach capacity. If event capacities or details are adjusted, the allocation is re-run from the beginning, using the same rules, to ensure accuracy and consistency for all players.

Once player placements are finalized, complete tee sheets are built for every event. These tee sheets include required host or administrative holds, shotgun formats where applicable, and player-requested cart and time considerations. At no point does any event exceed its capacity, and all placement rules are applied uniformly across the schedule.

When demand exceeds capacity, some requests cannot be accommodated. In those cases, unfulfilled requests are the result of capacity limits only, not skipped preferences or manual adjustments.

This allocation process is designed to be transparent, repeatable, and fair — ensuring that every member’s preferences are handled the same way.
